Nex.ai Notetaker integration with Zoom

Adding the Nex.ai Notetaker to your Zoom meetings

  • Login to your Nex workspace, open Settings and under Integrations, add your Calendar.

  • The bot will automatically join any Zoom meetings on your calendar.

  • Make sure to let the bot into the meeting if you are the organizer.

  • If you are not the organizer, request the meeting organizer to let the bot in.


Post-meeting analysis

  • You can view your meetings, transcripts and meeting summaries under the Meetings section in Nex.

  • Every meeting attendee gets the meeting summary emails unless turned off in Notification settings.


Example: Schedule a Zoom meeting as usual. Nex.ai will automatically detect it, and once the meeting ends, the recording and transcript (if enabled in Zoom) will appear in Nex.ai for analysis.


Removing the App 

  • Login to your Nex workspace, open Settings and under Integrations, remove the Calendar whose meetings you don't want the bot to join.

  • The bot will stop automatically joining any Zoom meetings on your calendar.


Implications of removal:

  • Nex.ai will stop receiving Zoom data immediately.

  • Existing data already processed in Nex.ai remains in your account unless you request deletion.


Data handling after removal:

  • Tokens are revoked; ingestion ceases.

  • To delete previously stored data, contact support at support@nex.ai ↗.


Troubleshooting if the bot doesn't appear in meetings:

  • Ensure you’re signed into the correct Nex workspace

  • Make sure you have connected your calendar in Integrations

  • Ensure that your meetings have the Zoom meeting link. We recommend using the Zoom extension for Google Calendar.

  • Make sure you are the organizer to let the bot into the meeting or ask the organizer to do so.
